The result

This is how
you sign it.

A cover sheet with the parties and the result at a glance, the complete inspection list, the defect list — and the photos embedded, not attached alongside.1

The cover sheet of the acceptance report with four tiles: positions, confirmed, outstanding work and defects, below them the project, client, contractor and appointments.

Cover sheet.

Annex 1, the inspection list: each position with its rating as a status pill and the photos in a strip below.
Annex #1 — inspection list. Every position with its rating, description and photos, arranged by floor, room and module.
Annex 3, the defect list with module, room, position number, rating and defect description.
Annex #3 — defect list. Only the findings, for the rectification work. Outstanding work and defects are shown separately.
Why it looks like this

Three decisions
you can see on the printout.

Status pills instead of coloured text

On a printout a filled area is more reliably recognised than coloured type — especially in a photocopy.

Accent and traffic light kept apart

The accent carries the structure, the traffic light carries the finding. The accent never appears in a rating column.

Photo and row stay together

A picture never slides onto the next page by itself. Otherwise the photo would stand there without its position.

Two files

One to sign,
one to work on.

The PDF goes round and gets signed. The workbook holds the same three sheets — that is where you record the rectification.

Annex #1

The inspection list. Every position that was inspected.

Annex #3

The defect list. Only the findings, with description and photo.

For cross-checking

On request the count row by row — to settle it with whoever wrote the list.

Annex #2 is deliberately absent. The app does not capture the documentation — an empty sheet would only raise questions.

1. Every screenshot and report shown here comes from the app's sample project. All names, companies, addresses and figures in them are invented.
